How to Book and Terms & Conditions
Welcome to LAND OF CEYLON (PVT) LTD. These Booking Terms & Conditions explain how bookings are made, managed, amended and cancelled when you reserve travel services with us. Please read them carefully before confirming any booking with us.
By making a booking with LAND OF CEYLON (PVT) LTD, you confirm that you have read, understood and accepted these Terms & Conditions on behalf of yourself and all persons included in your booking.

1. About Us
LAND OF CEYLON (PVT) LTD is a Sri Lanka-based travel company offering tailor-made holidays, tours, transport arrangements, accommodation coordination, guided experiences and related travel planning services.
References in these Terms to "we", "us" or "our" mean LAND OF CEYLON (PVT) LTD. References to "you" or "traveller" mean the person making the booking and all persons named on the booking.
2. Booking Process
You may enquire or book with us through our website, email, WhatsApp, phone or any other official communication channel operated by LAND OF CEYLON (PVT) LTD.
A booking will normally follow these steps:
- You send us an enquiry or travel request.
- We discuss your requirements and prepare a proposed itinerary.
- We provide pricing, inclusions, exclusions and any key booking conditions.
- You confirm that you wish to proceed.
- We request a 50% deposit to confirm your booking.
- Once payment is received and the arrangements are secured, we issue a booking confirmation.
No booking is considered fully confirmed until we have sent you a written confirmation.
We reserve the right to decline a booking request at our discretion, including where services are unavailable, payment cannot be verified, or travel arrangements cannot reasonably be secured.
3. Accuracy of Information
It is your responsibility to ensure that all names, travel dates, passport details and other personal information supplied to us are accurate and match the relevant travel documents.
We are not responsible for costs, delays, losses or service failures caused by incorrect information supplied by you or by any member of your group.
4. Prices
All prices are quoted in the currency stated in your quotation or invoice. Unless otherwise stated, prices may include only those services specifically listed in your itinerary or confirmation.
Prices may be based on factors such as:
- seasonal accommodation rates;
- transport charges;
- government taxes or entrance fees;
- exchange rates;
- supplier availability at the time of confirmation.
A quotation is not a guaranteed booking price until confirmed in writing by us.
We reserve the right to revise prices before confirmation if supplier rates, taxes, fuel costs, government levies, exchange rates or availability change.
If a significant pricing error occurs, we reserve the right to correct it and offer you the option to accept the corrected price or cancel before confirmation.
5. Deposits and Payment
To secure a booking, a deposit of 50% of the total booking value is required at the time of confirmation.
Our payment structure is:
- 50% deposit at confirmation;
- remaining balance before travel starts.
If payment is not received by the stated due date, we may treat the booking as cancelled.
You are responsible for any bank transfer charges, card fees, currency conversion charges or similar transaction costs unless we state otherwise.
6. Booking Confirmation
Once your booking is confirmed, we will send you a written confirmation and/or invoice. Please review it carefully and notify us immediately if anything appears incorrect.
If you do not inform us of any issue promptly, we will assume that the booking details are correct.
7. What Is Included
Your package or itinerary includes only those items expressly stated in your written quotation, confirmation or itinerary.
Depending on your booking, inclusions may cover items such as:
- accommodation;
- meals as stated;
- airport transfers;
- private or shared transport;
- chauffeur or guide services;
- sightseeing and excursions;
- entrance fees where specified.
8. What Is Not Included
Unless specifically confirmed in writing, the following are generally not included:
- international flights;
- visa fees;
- passport costs;
- travel insurance;
- vaccinations or medical costs;
- personal expenses;
- laundry, minibar and room service;
- tips and gratuities;
- optional activities;
- early check-in or late check-out unless stated;
- excess baggage charges;
- costs arising from delays, weather, strikes, illness, route changes or other unforeseen events.
9. Amendments Requested by You
If you wish to change your booking after confirmation, we will try to assist, but we cannot guarantee that amendments can be made.
Any amendment may result in:
- administration charges;
- supplier amendment fees;
- price increases due to reduced availability or changed rates.
Common amendments include changes to travel dates, hotels, room categories, transport type, traveller names or itinerary elements.
Certain confirmed services may have strict supplier change terms and limited refund options.
10. Cancellation by You
If you wish to cancel a confirmed booking, the cancellation must be made by the lead traveller in writing by email or another written channel accepted by us.
Refund outcomes depend on third-party supplier policies, because hotels, transport providers, guides and activity operators each apply their own terms.
LAND OF CEYLON (PVT) LTD does not apply additional cancellation penalties of its own.
We strongly recommend that you take out comprehensive travel insurance that includes cancellation cover.
11. Changes or Cancellation by Us
We plan all trips with great care, but occasionally changes become necessary due to supplier issues, safety reasons, weather conditions, local authority instructions, operational constraints or events beyond our control.
If a minor change is necessary, we may make that change and inform you as soon as reasonably possible.
If a material change becomes necessary before travel, we will try to offer a reasonable alternative where possible. If we are unable to deliver a major part of the booked arrangements, we may offer:
- a suitable alternative;
- a credit, if appropriate; or
- a refund limited to the affected unused services, where applicable and recoverable.
We are not liable for indirect or consequential losses arising from such changes.
12. Force Majeure
We shall not be liable for failure, delay, changes or cancellation caused by events outside our reasonable control. These may include, without limitation:
- natural disasters;
- floods, storms or severe weather;
- epidemics, pandemics or public health emergencies;
- civil unrest, demonstrations or political instability;
- war or threat of war;
- terrorist activity;
- airport closures or airline disruptions;
- road closures or transport interruptions;
- strikes, industrial disputes or labour shortages;
- government restrictions or legal orders.
Where force majeure affects your trip, we will try to provide reasonable assistance, but refunds, postponements or alternatives will depend on what is recoverable from the relevant suppliers.
13. Accommodation and Transport
Hotels, villas, camps, vehicles, trains, domestic flights, boats and other travel services are operated by third-party suppliers. We act as organiser, planner or intermediary depending on the service involved.
Descriptions, photographs, star ratings and facilities are based on information supplied by those providers and may change without notice.
Check-in and check-out times are set by the relevant accommodation provider. Early check-in or late check-out cannot be guaranteed unless confirmed in writing.
Vehicle type, guide availability, room allocation and similar operational details remain subject to actual availability and local operating conditions.
14. Travel Documents, Visas and Entry Requirements
It is your responsibility to ensure that all members of your party have valid passports, visas, permits, health documentation and other entry requirements necessary for travel.
Passport validity requirements may differ depending on nationality and destination rules. Visa and immigration requirements may also change at short notice.
We may provide general guidance, but we are not responsible for:
- visa refusals;
- denied boarding;
- denied entry;
- missed travel due to incomplete or invalid documentation.
You should check directly with the relevant embassy, consulate, airline or government authority before travel.
15. Health, Fitness and Special Requirements
You must tell us before booking about any medical condition, mobility requirement, dietary need, allergy or special assistance request that may affect your trip.
We will try to accommodate reasonable requests, but we cannot guarantee that all suppliers or locations can meet all requirements.
Certain excursions, wildlife activities, trekking routes, train journeys, boat rides or remote-area experiences may involve physical demands or limited medical access. It is your responsibility to ensure that you are fit to participate.
If we reasonably believe that a traveller's health, behaviour or condition may affect the safety, comfort or wellbeing of that traveller or others, we reserve the right to refuse or limit participation in part of the trip.
16. Travel Insurance
Comprehensive travel insurance is strongly recommended for all travellers and may be mandatory for certain trips.
Your policy should ideally cover:
- trip cancellation or curtailment;
- medical expenses;
- emergency evacuation;
- personal accident;
- baggage loss or delay;
- travel delays and missed connections;
- adventure activities, if relevant.
We are not liable for losses that would reasonably have been covered by appropriate travel insurance.
17. Traveller Conduct
All travellers are expected to behave responsibly and respectfully toward guides, drivers, hotel staff, local communities, wildlife and other travellers.
We reserve the right to refuse service or terminate arrangements without refund where a traveller's behaviour is unlawful, dangerous, abusive, disruptive or likely to cause damage, delay or distress.
Any loss, damage, penalty or extra cost caused by your conduct will be your responsibility.
18. Local Conditions and Travel Risks
Travel in Sri Lanka may sometimes be affected by weather, wildlife movement, religious events, cultural observances, traffic conditions, road closures, infrastructure issues or operational changes beyond our direct control.
Part of the nature of travel is flexibility. By booking with us, you accept that reasonable changes to timings, routes, accommodations, activities or transport may sometimes be necessary.
19. Our Liability
We will perform our services with reasonable care and skill. However, our liability is limited to the value of the travel arrangements booked with us, except where a lower limitation is required by law.
We are not liable for:
- acts or omissions of third-party suppliers beyond our reasonable control;
- losses caused by your own acts, omissions or negligence;
- missed flights, missed connections or losses caused by delays outside our control;
- loss of enjoyment, indirect loss, consequential loss or business loss;
- theft, injury, illness, death, damage, delay or expense caused by force majeure or third parties.
Nothing in these Terms excludes liability where such exclusion is not permitted under applicable law, including liability for fraud, or for death or personal injury caused by proven negligence where the law does not allow such limitation.
20. Complaints and Problems During Travel
If you experience a problem during your trip, you must inform us as soon as possible so that we have a fair opportunity to assist and, where possible, resolve the issue promptly.
If the matter is not resolved during travel, you should send your complaint to us in writing within 14 days of the end of your trip, with supporting details.
We will review the complaint in good faith and respond within a reasonable period.
We may not be able to consider claims properly where you failed to report the issue promptly during travel and this prevented us from investigating or resolving it.
21. Photography and Marketing
From time to time, we may request permission to use photographs, testimonials or reviews shared with us for marketing purposes. We will not use personal images in promotional content without appropriate permission where required.
If you do not wish your images or feedback to be used, please let us know.
22. Personal Data and Privacy
We collect and use personal information only as reasonably necessary to respond to enquiries, manage bookings, coordinate travel services, communicate with you, comply with legal obligations and improve our services.

By making a booking, you confirm that you have authority to provide personal data relating to all travellers named in the booking.
23. Intellectual Property and Website Use
All content on our website, including text, design, branding, images, graphics and itineraries, belongs to LAND OF CEYLON (PVT) LTD or is used under licence unless otherwise stated.
You may not copy, reproduce, distribute or commercially use our content without prior written permission.
Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Sri Lanka.
Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Sri Lanka, unless otherwise required by applicable consumer protection laws.
Refunds
Refunds are subject to the applicable cancellation terms and supplier policies.
Where refunds are due, they will be processed within a reasonable timeframe (typically 14-21 days) after confirmation of cancellation and receipt of funds from relevant suppliers.
Bank charges, currency exchange differences and transaction fees may be deducted where applicable.
We do not accept liability for exchange-rate variations or financial institution deductions beyond our control.

Experiences and Activities
Some travel experiences, including wildlife viewing, train journeys, and outdoor activities, are subject to availability and natural conditions.
We do not guarantee specific outcomes such as wildlife sightings, exact timings or uninterrupted experiences.
